    What Will You Be Doing

     

    Administrative Coordination:

    ·        Manage event schedules, including creating and distributing event agendas and timelines.

    Translation Assistance:

    ·        Aiding in translation of documents and communications between Arabic and English.

     

    Communication and Documentation:

    ·        Maintain and update event documents, including contact lists, schedules, and contracts.

    ·        Adding information onto SharePoint

    ·        Draft and send communications, such as emails, meeting notes, and reminders, to team members and attendees.

     

    Meeting and Scheduling Support:

    ·        Schedule and organise pre-event meetings, rehearsals, and briefing sessions or content in this case

    ·        Document meeting minutes, track action items, and follow up on assigned tasks.

     

    Logistics and Resource Management:

    ·        Coordinate logistics like catering, transportation, and accommodation for staff or guests.

    Financial Administration:

    ·        Track expenses and assist in budget management.

    Event Support:

    ·        Provide on-site support to troubleshoot issues, respond to participant needs, and coordinate with event staff.

         

    Post-Event Activities:

    ·        Organise and archive event documentation, such as contracts, receipts, and attendee lists.

    ·        Assist in post-event evaluations, gathering feedback and compiling reports.

    Skills, Experience & Attributes Required

    ·        Must be an Arabic speaking Saudi National 

    ·        Experience in a similar administration role

    JOB ROLE: Senior Project Lead

    HOURS: Mon to Fri 8:30 – 5:30

    LOCATION:

    The Role

    Project Delivery Functions that this role is responsible for:

    ·       From receipt of brief from Commercial team, formulate a response for delivering the project.

    ·       Deliver projects by running onsite operations and managing teams as needed.

    ·       Develop the project budget, timeline and agree supply chain.

    ·       Lead the client communications across the lifecycle of the project, supported by our Commercial team where relevant.

    ·       Build relationships with suppliers and freelancers to widen our talent pool and drive efficiencies.

    ·       Own and manage all logistical requirements for successful project delivery, and drive efficiencies where possible across projects.

    ·       Ensure all H&S documentation is in order and adhered to, working alongside our H&S partners.

    ·       Deliver against our sustainability goals and look to embed these within project scope and look to action change with clients as we do so.

    ·       Ensure all internal systems are up to date to add value to reporting. WFM/Rentman.

    The Role

    ·       Data entry & maintenance of the Company’s financial management system.

    ·       Process customer invoicing to ensure accuracy against customer POs and quotes.

    ·       Process supplier invoicing to ensure accuracy against POs and quotes. And cross-references balances against monthly statements.

    ·       Manage bank activities including reconciliations of bank and credit card statements.

    ·       Compile weekly supplier payment runs in-line with payment terms. 

    ·       Prepare financial and statistical reports as required. 

    ·       Present financial update to the Company each week.

    ·       Compile the Company dashboard monthly.

    ·       Assist in the preparation of monthly Management Accounts.

    ·       Assist in the preparation of statutory accounts ensuring adherence to processing deadlines.

    ·       Statutory accounting, VAT and Company tax declarations, produced in a timely and accurate manner.

    ·       Credit control and administration functions across all departments to ensure payments are collected in a timely manner.

    ·       Recommend changes in financial policies and procedures, as necessary.

    ·       Monitor established internal controls to assure proper compliance.

    ·       Assist with planning and implementing changes in the accounting system.

    ·       Review all new clients credit account forms, credit check and reward credit limits. Monitor and review regularly. 

    ·       Review supplier T&Cs and complete any new supplier account forms. 

    ·       To be a point of contact for team members regarding the Company CRM/Quote and PO system.

    ·       Support People, Culture & Facilities Manager with some general office management tasks such as minute taking, travel booking and stationery ordering. 

     

    Experience Wishlist

    ·       Qualification to AAT level 3 required, or currently studying AAT. 

    ·       Experience in a finance role preferable, but not essential. Previous experience of Xero beneficial.

    ·       Excellent reporting skills, a keen eye for detail. Advanced Excel experience preferable.  

    ·       Able to efficiently use Microsoft Office software (Word, Excel, Outlook and PowerPoint).

    The Role

    The Head of Agency Growth will lead the agency’s marketing and growth strategy, driving sustainable business growth globally while delivering on short-term targets. This role encompasses marketing leadership, overseeing efforts to increase leads, awareness, and recognition, as well as managing the RFP and pitching process with a dedicated team. In collaboration with the Head of Business Development, they will share responsibilities in evolving the agency’s service offerings, identifying growth opportunities, and refining the agency’s positioning for long-term success. They will also focus on forging strategic partnerships, staying ahead of industry trends, and optimizing pricing models to drive incremental revenue and long-term sustainability.

    Key Responsibilities:

    Marketing Leadership:

     

    ·        Develop and implement the annual marketing strategy to achieve key business objectives.

    ·        Drive lead generation, awareness, and industry recognition through targeted campaigns and content.

    ·        Oversee the agency's thought leadership plan, including content creation, publication schedules, and distribution.
